3. Shared Mailboxes – Office 365 Mailbox Types

It is one of the crucial Office 365 Mailbox types. The Office 365 admin also generates a shared mailbox, and users are then linked to it as members. Creating a shared mailbox with storage up to 10 GB is entirely free. Shared mailboxes enable the sending of emails from a shared email address for a specific group.

If any user in the group sends an email reply to any email (received) in a shared mailbox, then the email address of the shared mailbox will be the sent address. Shared Mailbox is always the best way to avoid load from your primary inbox, and it prevents unessential and spams messages.

Keep some essential points in your mind:

  • Every Shared Mailbox participant has full control over the email operation. For example: if any member deletes any mail from this mailbox, then all other members will be able to access it.
  • Shared Mailbox members can respond to any email without the approval of any other members of a mailbox.
  • When you receive any new email in a shared mailbox, you will not get any pop-up as same as your primary inbox.
  • This Shared Mailbox created can be opened on Outlook.com, as well as the MS Outlook desktop version. But, you’re required to have full Shared Mailbox access for this operation.

4. Office 365 Groups:

The reason Office 365 was introduced by Microsoft is to promote collaborative work. If you want to use Office 365 groups, you need to create a name and email address.

E.g., you want to send a contact from outside to the distribution list then you have to add that email address as a contact. After that, you can add that user to the distribution list.

6. Resource Mailboxes

This is also called an Equipment mailbox or a room mailbox. A resource mailbox is used to create a room where you can start a video conference. If you want to include a resource mailbox in meeting requests and other calendar items, it means you own the resource for that particular time.
